2. Professional Practices

2.1. Respect and Inclusivity

Every team member must treat one another with respect and dignity, promoting an inclusive and welcoming environment regardless of any differences.

2.2. Equal Employment Opportunity

2.3. Dress Code

The Company maintains a professional corporate image through a standard dress code for all employees, detailed below. Please review and adhere to these guidelines to avoid any violations. Continuous or serious breaches will be addressed following the Company's disciplinary procedure. All management levels are responsible for enforcing the dress code. The Company may adjust the list of acceptable clothing at its discretion.

While upholding a professional image, the Company will strive to accommodate reasonable requests related to individual religious or other dress requirements.

  1. Official Dress Code: Men are required to wear pants and a shirt with shoes. Shalwar kurtas and kameez are also permitted. Slippers are not allowed.
  2. Appearance Expectations: All employees must maintain a professional, neat, and clear appearance at all times on the office premises.

2.3.1. General Guidelines

  • Employees meeting clients on casual days must wear regular business attire.
  • Ties are mandatory for external meetings, unless a medical reason prohibits their use.
  • Men's shirts must always be tucked in.
  • Maintain a neat, clean, and presentable appearance at work.
  • Sleeveless dresses/blouses are acceptable if smart and tailored; otherwise, shoulders must be covered.
  • Ensure underwear is not visible; strapless underwear should be worn if needed, with tops covering appropriately.
  • Large tattoos must be covered at all times.
  • Avoid facial studs/rings during working hours, except for earrings.
  • Maintain a presentable business haircut; unconventional styles like mohawks or punk cuts are not suitable.
  • Notify the manager and HR department of any clothing or footwear required for medical or religious reasons.
  • Change into appropriate work attire upon arrival if commuting in non-business clothes.
  • Remove casual items like hooded tops used as coats upon entering the office.

2.4. Office Cleanliness

Employees should strive to keep themselves and their development environment clean and pleasant. Responsible housekeeping is expected, and employees are accountable for leaving their workstations clean and tidy at the end of the working day.

2.5. Usage of Technology and Equipment

All team members are required to utilize company technology resources for work-related purposes.

  • The use of office resources for personal tasks is strictly prohibited.
  • Working any other job while employed with us is prohibited. You are not permitted to engage in freelance work, and your freelance profiles must remain private for the duration of your employment with AALA IT SOLUTIONS.
  • Refrain from accessing any social media profiles, including but not limited to Facebook, Instagram, TikTok, LinkedIn, during work hours. When using personal devices during free time, please minimize usage to an appropriate level.
  • Browsing or visiting adult websites while using office equipment is strictly prohibited.
  • Do not use a VPN on your workstations unless authorized by your manager.
  • Limit your use of YouTube to work-related purposes only. Excessive streaming on YouTube can slow down internet speeds for others.

2.6. Mobile Phone Usage

  1. Restrictions: Mobile phone usage is not allowed in the development area due to potential disruptions. Your personal mobile should not be on table and should be in your pocket or bag.
  2. Permission Requirement: If necessary, employees must seek permission from their manager and move to a designated area for the conversation. Mobile conversations should not exceed 5 minutes.
  3. Consequences: If an employee is found using their mobile phone in the development area for anything other than call, especially social media, Facebook, WhatsApp or X the phone will be seized for a minimum of 4 hours.
  1. Prohibition:
    • Smoking, including the use of cigarettes or vape products, is strictly prohibited in the office premises.
    • Employees are not allowed to consume alcohol or drugs during working hours or on the office premises.
  2. Penalties: Any employee found guilty will be fined Rs. 5000/- or equivalent and issued a warning letter. Repeat offenses may lead to termination.

2.8. Power and Water Saving

  1. Responsibility: Every employee is responsible for conserving power and water.
  2. Guidelines: All machinery, lights, and electrical installations should be switched off when not in use. Individuals should ensure that their systems are turned off before leaving their workplace.

2.9. Workstation and Desk

  1. Responsibility: Employees are responsible for their workstations and desk items.
  2. Guidelines: Water bottles should be placed under the table to protect equipment. Food items are not permitted on tables, and meals are not allowed at the table. Employees must keep their tables clean; penalties may be imposed for items left on the table after departure.

2.10. Not to Do’s

  1. Behavior Expectations: Employees are bound by moral and professional principles. Foul language is not allowed in any conversations.
  2. Restricted Topics: Certain topics should not be discussed with clients to avoid non-development impediments:
    • Environmental Issues
    • Politics
    • Working environment
    • Religious topics
    • Administrative matters local to the company, like salaries, increments, etc.
  3. Sexual harassment: Bullying, or any form of discrimination is strictly prohibited. Employees found engaging in such behavior will face disciplinary action, including termination.
  4. Reporting and Confidentiality: We encourage all team members to report any violations to the HR team promptly. This reporting process acts as our safety net, helping us identify and address issues quickly and effectively. All reports will be handled confidentially and investigated thoroughly according to company policy.
  5. Social Media: Employees are not allowed to post any information about the company, its clients, or projects on social media platforms without prior approval from the management.
  6. Personal Calls: Employees are not allowed to make personal calls during working hours. If necessary, they should seek permission from their manager and move to a designated area for the conversation.
  7. Personal Work: Employees are not allowed to work on personal projects during working hours.
  8. Internet Usage: Employees are not allowed to use the internet for personal use during working hours.
  9. Music: Employees are not allowed to listen to music during working hours.
  10. Gaming: Employees are not allowed to play games during working hours.
  11. Sleeping: Employees are not allowed to sleep during working hours.
  12. Leaving Early: Employees are not allowed to leave the office before the official closing time without prior permission from their manager.
  13. Leaving the Office: Employees are not allowed to leave the office during working hours without prior permission from their manager.
  14. Visitors: Employees are not allowed to bring visitors to the office without prior permission from the management.
  15. Weapons: Employees are not allowed to bring weapons to the office.
  16. Pets: Employees are not allowed to bring pets to the office.
  17. Food and Drinks: Employees are not allowed to bring food or drinks to the workstation / their tables.

2.11. Personal Belongings

  1. Responsibility: Employees are responsible for their personal belongings and properties left in the office.
  2. Liability Disclaimer: The company assumes no liability for any loss or damage to personal belongings and property.

2.12. AALA IT Solutions’ Property

  1. Usage Guidelines: Company office space, equipment, materials, and other properties are for employee use only.
  2. Portable Properties: Those using the company’s portable properties (e.g., mobile phones, laptops, and cameras) are responsible for their safekeeping.

2.13. Visitors in the Workplace

  1. Safety Measures: To ensure safety, visitors are restricted to the reception area.
  2. Identification Requirement: All visitors must show identification at the office door and must not wander around the office.

2.14. Usage of Illegal Software

  1. Restriction: Employees are not allowed to use the company’s computer system to download or install illegal or unauthorized programs, software, or data.
  2. Consequences: If illegal software is found on any system, the person operating the computer will be held responsible, and necessary disciplinary action will be initiated.

2.15. Pursuing Education while Working at AALA

  1. Permission Requirement: Under no circumstance can an employee pursue educational concerns without informing and obtaining permission from management.
  2. Reporting Schedule: If permission is granted, a detailed schedule must be provided to the project manager and the admin officer regarding timing.
